Office Trailer Rental Frequently Asked Questions

 

 

 

PRODUCT, MAINTENANCE, AND UTILITIES QUESTIONS

 

HOW LARGE OF AN OFFICE TRAILER WILL I NEED?

If the office trailer is being used in an office type environment, you should allow for approximately 100-120 square feet per person.  For instance, a 12’x40’ office trailer would comfortably accommodate 4-5 workers.  Note that it’s always better to go with a 12’wide unit for office type applications as the wider units have a more office-like feel to them.  A lunchroom or classroom application would not require as much square footage per person.  For instance, a 12’x40’lunchroom would comfortably accommodate 15-16 people.  If in doubt and you have the space, it’s always advisable to go with a unit one size up.  The incremental cost is marginal and the extra space will undoubtedly come in handy.

 

WILL I NEED AIR CONDITIONING?

Office trailers can become unbearably hot during the summer months, especially during an extended heat wave. If you will be spending any time at all in the trailer during the summer, air conditioning is highly recommended. Note that the border months of April and September often feature extended periods of hot weather therefore air conditioning is recommended for the 6-month period from April through to September.

 

HOW DOES THE ELECTRICAL CONNECTION WORK?

Each office trailer has an electrical panel board and requires a 100 Amp, 220 Volt power connection by a licensed electrician. Some of the smaller office trailers (24’ and under) have a 60 amp, 220 volt power service. The electrical panel is usually located at the center of the driver’s side wall.

 

DO THE TRAILERS HAVE WASHROOMS?

Some of our office trailers do feature washrooms however this option is not often requested by our customers due to the logistical problems and expense of a fixed plumbing connection at the customer’s site. A sewer connection to a septic system would be required and this can be quite expensive. As well, the water and sewer connections would be exposed to the elements therefore substantial pipe heating and insulation work would be required to enable the system to function properly during the winter months.

The option most customers choose is to have a separate, Travelite self-contained washroom trailer which features large storage tanks for fresh and black water. These units are completely self contained, with hot and cold running water and require only the standard electrical connection.

 

WHERE ARE THE WINDOWS AND DOORS LOCATED?

Generally, windows and doors are located on the passenger side of an office trailer. There is also a window on either the front or rear walls. The driver side wall usually has no doors or windows however we do have many units with non-standard window and door locations. If you have a specific requirement for window or door locations, please contact us. We many have a unit which will suit your requirements.

 

DO THE OFFICE TRAILERS HAVE A STANDARD FLOOR PLAN?

Generally the smaller office trailers (8’x10’ up to 10’x24’) have a wide open floor plan with no interior partitions. We do have some smaller trailers that have 2 rooms.

Mid-range office trailers (10’/12’ x 32’and 10’/12’x40’) usually have a 10’ or 12’ office located at one end of the unit. We do have some 40’ office trailers with 3 rooms.

Larger office trailers (12’x52’ and 12’x60’) usually have 12’ offices at each end of the trailer and a large open room in the middle.

 

CAN I ATTACH SIGNAGE TO THE ROOF OF THE TRAILER?

Under no circumstances are fasteners to be used through the roof of the trailer. One screw hole on the roof will result in significant water damage to the trailer. Signage can be attached to the outside walls of the office trailer as long as it is removed and the holes sealed prior to lease end.

 

CAN POSTERS ETC. BE MOUNTED ON INTERIOR WALLS?

Under no circumstances are tape, staples or magic marker to be used on interior walls. These items will damage the wall panel and result in panel replacement at the customer’s cost. The preferable option is to mount a bulletin board on the wall. Push pins and tacks are also acceptable.


 

WHAT SECURITY PRODUCTS DO YOU OFFER?

We can supply and install security bars or screens.

 

DO YOU PROVIDE PHONE OR DATA JACKS?

Installation of phone or data jacks is the responsibility of the customer. Many of the trailers have installations remaining from a previous customer which you may be able to use.

 

CAN THE OFFICE TRAILERS BE USED FOR RESIDENTIAL NEEDS?

In general residential building specifications and setup requirements are very different and office trailers are built for commercial use.

 

IS ROUTINE MAINTENANCE AND CLEANING INCLUDED IN THE LEASE?

No. The customer is responsible for regular maintenance and cleaning.



 

DELIVERY AND SETUP QUESTIONS

 

HOW MUCH NOTICE DO YOU NEED PRIOR TO OFFICE TRAILER DELIVERY?

It’s best to allow at least one week notice prior to delivery date. Under certain circumstances urgent deliveries can be arranged.

 

WHAT IS TRAVELITE’S DELIVERY AREA?

Travelite serves customers throughout Eastern Ontario and occasionally into Quebec. Our customer base is located mainly in Ottawa, Kingston, Belleville, Brockville, Pembroke, Cornwall and Hawkesbury.

 

WHAT TYPE OF SITE PREPARATION IS REQUIRED?

Proper site accessibility and preparation is the customer’s responsibility and is essential for a trouble-free office trailer installation. The ideal site is level, with a paved or compacted gravel base. Office trailers can be installed in a grassy area however the site must be firm and dry.

 

CAN SOMEONE ELSE PICKUP OR RELOCATE THE TRAILER?

Under certain conditions with Travelite permission, we will allow a qualified company with proper equipment and insurance to move or relocate our trailers. Please contact us to discuss details.

 

HOW DO I SCHEDULE THE RETURN PICKUP FOR MY OFFICE TRAILER?

When the equipment is no longer required, ensure that the equipment is available for immediate pickup and then contact the Travelite office for pickup arrangements. “Available for pickup” means that power has been disconnected, customer’s equipment and property have been removed, and that there is reasonable truck accessibility to enable pickup of the unit.

 

 

ACCOUNT SET-UP, BILLING AND INSURANCE QUESTIONS

 

HOW DO WE GET SET UP TO RENT A UNIT FROM TRAVELITE?

Customers with no previous relationship with Travelite will be required to either fill out our standard credit application or submit your own standard form. We also accept Visa and Mastercard if this is preferable to you.

 

DO YOU HAVE A PRICE LIST FOR THE VARIOUS SIZES?

Office trailer prices vary based upon rental term, customization and availability. Please use our quotation request form or call us and we’ll get you a price right away.

 

DOES TRAVELITE SELL OR FINANCE THIS EQUIPMENT?

Travelite is primarily a rental company however we are willing to price a unit at the customer’s request. All rented units carry a lease-purchase option whereby a percentage of the total accumulated rental payments can be put towards the unit purchase price at any point in time.

 

WHAT INSURANCE REQUIREMENTS DO YOU HAVE?

Customers renting from Travelite require a general liability policy with a $1,000,000 minimum. Customers must also provide proof of insurance for the unit itself, or purchase Travelite’s standard Office Trailer insurance policy. Note that Travelite insurance has a $1,000 deductible and covers only the unit itself and not trailer contents.

 

WHAT ARE YOU BILLING TERMS?

Billing terms are net 30 days.
